NexTech and MyMedLeads - best practices for preventing duplicates

MML can only manage duplicates coming from NexTech. When you convert a patient from MML to NexTech, it NexTech's job to manage the duplicate and merge it; if itdoes not, it creates a duplicate patient record in NexTech. 

Here is the best practice to manage the data when the patient is ready to schedule. 

For a NEW patient in MyMedLeads (MML) but not yet in NexTech:
  • In MyMedLeads, select the Convert to Nextech button.
  • In NexTech, search for and schedule the new patient. 

    MyMedLead should receive the appointment message (visible in the History section of the lead) and change the status to Scheduled in MML.
For an EXISTING patient already in NexTech:
  • From NexTech, search for and schedule the patient
    • You do not need to click Convert to NexTech in MyMedLeads. If you convert a lead that is already in Nextech, Nextech may create a duplicate.
  • MyMedLeads will receive the message, then search the account for the patient record. 

    If the person you schedule doesn't yet exist in MyMedLeads, a new MML record is created.

    If the person does exist:
    • MyMedLeads will merge the records if the name, email and phone match exatly.
    • MyMedLeads will flag it as a duplicate for you to merge if the info partially matches.
